Privacy Policy
This policy explains how the ICSMES-1 Secretariat, hosted by the Copperbelt University ORTARChI Project, handles information submitted through this website and related conference administration.
Information we collect
We collect only information needed to process a registration or abstract submission: name and title, email address, phone number, organisation, country, selected conference activities, registration category, abstract details, and files you choose or are required to upload. A student ID is collected only when you select the student category. A payment receipt or proof of payment is required with each registration.
How we use it
We use this information to administer registration, verify eligibility, receive and review abstracts, communicate about the conference, reconcile payments, provide selected activities, and protect the forms from spam. We do not sell your information or use it for unrelated advertising.
Who receives it
Access is limited to authorised conference administrators and service providers needed for hosting, database storage, secure email delivery, and payment reconciliation. Bank or mobile-money payments are made directly using the instructions shown on the registration form; this website does not collect card details.
Files and retention
Uploaded abstracts, payment receipts, and, where applicable, student IDs are stored on the conference server and are accessible to authorised administrators for review and verification. We retain information only for as long as needed for conference administration, financial records, dispute handling, and legal obligations, then delete or anonymise it according to the Secretariat's retention process.
Cookies and third-party content
The public site does not use analytics or advertising cookies and currently contains no third-party iframe or embedded media. The administration area may use a necessary session cookie for secure login. See the Cookies Policy for details.
Your choices
You may ask what personal information we hold, request correction, ask for deletion where retention is not required, or withdraw a non-essential request before processing. Contact ortarchi@cbu.ac.zm with your reference number where available.
